Terms & Conditions

These terms govern your use of the FreshFlow Pro website and service, operated by WayToGrowServices of Coventry, West Midlands, UK (“we”, “us”). By subscribing to a plan or starting a free trial you agree to these terms.

The service

FreshFlow Pro is a web-based restaurant management system providing point of sale, kitchen display, delivery management, staff management, menu and inventory tools, QR ordering and payments, and analytics. It runs in a web browser on devices you already own; no proprietary hardware is required.

Free trial

We offer a 7-day free trial. The trial begins on the day your system goes live, not the day you enquire. No payment details are taken to start a trial and there is nothing to cancel if you decide not to continue. We reserve the right to limit one trial per business.

Plans, billing and term

  • Plans are billed monthly in advance via Stripe. Prices are shown on our pricing page and are exclusive of any applicable taxes unless stated otherwise.
  • Each plan covers a maximum number of locations. Exceeding that requires an upgrade.
  • A 0.5% platform charge applies to each QR transaction (QR payment, or QR order and pay). This is separate from and in addition to any fees charged by Stripe or your payment provider.
  • You may upgrade or downgrade at any time by contacting support. Changes take effect from your next billing date.

Cancellation

You may cancel at any time. Your subscription remains active until the end of the period you have already paid for, after which it will not renew. We do not provide pro-rata refunds for partial months. See our Refund Policy for full details.

Hardware add-ons

Optional hardware packs and POS screens are one-time purchases, are prepaid, and are subject to availability. As stated at the point of purchase, these are non-refundable once dispatched or installed, except where the goods are faulty or where you have statutory rights that cannot be excluded.

Your responsibilities

  • Keep your account credentials secure and ensure your staff do the same. You are responsible for activity under your accounts.
  • Ensure the data you enter — including menu, pricing, allergen and customer information — is accurate and lawful. You remain the data controller for your own customers' data.
  • Comply with applicable food safety, consumer protection, tax and data protection law in your jurisdiction. FreshFlow Pro is a tool; it does not make you compliant by itself.
  • Do not attempt to breach, probe or disrupt the service, or resell it without our written agreement.

Payments to you

Where you take customer payments through QR payments or QR order and pay, funds are processed by Stripe and settled to your own merchant account. Your relationship with Stripe is governed by Stripe's own terms. We are not a bank, a payment institution, or a party to the transaction between you and your customer.

Availability

We aim for high availability but do not guarantee uninterrupted service. Planned maintenance will be notified in advance where practical. Uptime figures quoted in our marketing describe historical performance and are not a contractual service level guarantee.

Support

All plans include support by email and WhatsApp, with same-day response targets during business hours. Multi and Chain plans receive priority response. Support targets are goals, not guarantees.

Your data

You retain ownership of the data you put into FreshFlow Pro. On request following cancellation we will provide an export of your data and delete it from active systems. See our Privacy Policy for how we handle personal data.

Liability

Nothing in these terms excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded. Subject to that, our total liability to you in any 12-month period is limited to the fees you paid us in that period, and we are not liable for indirect or consequential loss, loss of profit, or loss of data where that loss could have been avoided by your own reasonable backup and operational practices.

Suspension and termination

We may suspend or terminate your access if payment fails and is not resolved after notice, or if you materially breach these terms. Where practical we will give you notice and an opportunity to fix the issue first.

Changes to these terms

We may update these terms. We will give existing customers at least 30 days' notice by email of any change that materially reduces your rights, and you may cancel before it takes effect.

Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except that if you are a consumer resident elsewhere you retain the benefit of any mandatory protections of your local law.
